PAYMENT & REFUND POLICIES

These policies explain how payments, cancellations, refunds, and changes work for all NOMATRIBE trips (operated by NOMA TRAVELS LLC). By booking a Trip, you ("Participant”) agree to these policies in addition to the NOMATRIBE Terms and Conditions.

Reservation Fee

To save your spot on a NOMATRIBE trip, a USD $500 reservation fee is required at the time of booking.

This fee:

  • Reserves your spot in the group

  • Allows us to begin early planning and coordination

  • Does not guarantee that the trip is confirmed yet

If the trip is not confirmed, your payment is protected under our refund policy (see Section: If the Trip Is Not Confirmed).

Once the trip is confirmed, the reservation fee becomes non-refundable.

Payment Options

Payment options depend on how close the trip start date is.

  • Option 1: Payment Plan (Early Bookings)

    Available for bookings made more than 45 days before the trip start date:

    • 50% one month after booking

    • Remaining 50% at least 45 days before the trip starts

  • Option 2: Full Payment

    • 100% paid either one month after booking or immediately, depending on booking date. 

Important things to know:

  • If you book within 45 days of the trip start date, full payment is required at booking.

  • Payment plans are only available for bookings made before the 45-day mark.

  • All payments must be completed by the required deadlines.

  • Stopping payments does not cancel your booking.

If full payment is not completed by the deadline:

  • NOMATRIBE may cancel your booking and release the spot.

  • This will be treated as a cancellation initiated by the participant.

  • Refunds and amounts owed will be determined based on:

    • whether the trip was confirmed at that time, and

    • how many days remained before the trip start date,
      as outlined in the Cancellation & Refund Policy.

Any unpaid balance may still be due, even if you do not attend the trip.

HOW YOU CAN PAY

Payment Methods
We accept the following payment methods:

  • Credit / Debit Cards (processed via WeTravel; third-party processing fees may apply)

  • Venmo

  • Wise

Important: Any processing, platform, or banking fees charged by third-party providers are outside of NOMATRIBE’s control and are not guaranteed to be refundable, even if a refund is issued.

LATE OR MISSED PAYMENTS

WeTravel automatically sends payment reminders before and after each due date.

If a payment is still not completed after the final reminder:

  • NOMATRIBE may contact you directly to request payment.

  • If payment is still not completed, your booking may be canceled by NOMATRIBE.

If your booking is canceled due to non-payment:

  • The cancellation date will be the date we notify you by email.

  • Refunds or amounts owed will be determined based on:

    • Whether the trip was confirmed at that time, and

    • How many days remained before the trip start date,

    • As outlined in the Cancellation & Refund section above.

  • Any amounts already paid will be handled under those rules, and any remaining balance may still be due.

Late fees are not automatically applied, but repeated missed payments may result in cancellation.

REFUNDS & CANCELLATIONS

HOW TO CANCEL (READ THIS FIRST)

All bookings are made through WeTravel, but cancellations must be sent by email.

To cancel your booking, you must:

  • Email us at hello@nomatribe.co

What does not count as a cancellation:

  • WhatsApp messages

  • Instagram DMs

  • Verbal notice

Your cancellation date is based on when we receive your email, not when you stop paying or send a message elsewhere.

For the purposes of these policies, “cancel” or “cancellation” means a written request sent by email to hello@nomatribe.co to withdraw from the trip.

Please note:

  • WeTravel processing, platform, and banking fees are not guaranteed to be refundable.

24-Hour Grace Period

All bookings are processed through WeTravel.

After completing your booking on WeTravel, you have 24 hours from the booking timestamp to cancel and receive a full refund of the trip amount.

Please note:

  • Payment processing, platform, and banking fees charged by WeTravel or other third-party providers are not guaranteed to be refundable.

  • After the 24-hour window ends, the standard cancellation policy applies.

WHEN A TRIP IS “CONFIRMED”

A trip is NOT confirmed until both of the following happen:

  • We reach the minimum number of participants (6), and

  • You receive an official Trip Confirmation Email from NOMATRIBE

No email = not confirmed
Email sent = confirmed

Trips are confirmed no later than 45 days before the trip start date.
In most cases, trips are confirmed earlier.

This matters a lot for refunds and cancellation rules.

If the Trip Is NOT Confirmed

If you cancel before we send the Trip Confirmation Email:

You may choose either:

  • a full refund minus the USD $100 reservation fee, or

  • to transfer your payment as a credit to another active NOMATRIBE trip

If the Trip IS Confirmed

Once you receive the Trip Confirmation Email, the cancellation rules change.

Trip confirmation means the minimum group size has been reached and accommodations, hosts, and logistics begin to be secured.

Cancel more than 45 days before the trip start date

  • The USD $500 reservation fee is not refundable

  • All other payments are 100% refundable

Please note:

Once a trip is confirmed, operational costs are committed and cancellation penalties apply based on the timelines below.

Cancel between 45 and 20 days before the trip start date

  • The USD $500 reservation fee is non-refundable

  • 50% of the total trip price (excluding the reservation fee) is non-refundable

  • The remaining 50% is refundable

Cancel less than 20 days before the trip

  • No payments are refundable

  • Any remaining unpaid balance must still be paid in full

NO-SHOWS & LATE ARRIVALS

If you do not show up on the official trip start date, arrive late, or miss any portion of the trip:

  • No refunds or credits will be issued for unused days, services, or activities.

  • Arriving late does not reduce the total trip price.

In some cases where a participant joins significantly later than the trip start date (for example, one week or more), NOMATRIBE may, at its discretion, agree to adjust certain costs.

Any such adjustment must be approved in writing in advance and is not guaranteed.

CREDITS & TRANSFERS

When credits are allowed

  • If you cancel before 45 days of the trip start date you may request to transfer your payment as a credit to another active NOMATRIBE trip.

When credits are not allowed

  • If you cancel after 45 days of the trip, start date credits are not available, and the standard Cancellation & Refund Policy applies.

Credit rules (important)

If a credit is approved:

  • Credits cannot be transferred to another person

  • Credits must be used toward an active NOMATRIBE trip

  • Credits are applied to the trip price at the time of rebooking

  • Price differences may apply

SPECIAL SITUATIONS

If big things happen (natural disasters, government restrictions, pandemics):

  • We may offer partial refunds or credits

  • Any such decision is at NOMATRIBE’s sole discretion and does not create a precedent.

Personal emergencies (illness, family issues, etc.) are not covered.

TRAVEL INSURANCE (REQUIRED)

You must have valid travel insurance and provide proof at least 30 days before the trip.

Your insurance must cover:

  • Trip cancellation

  • Medical expenses

  • Emergency events

CHANGES TO YOUR BOOKING

If the trip is NOT confirmed:

Before you receive the Trip Confirmation Email:

  • You may request to switch to another active NOMATRIBE trip, subject to approval.

  • Any payments made may be transferred to the new trip.

  • If the new trip has a different price, price differences will apply.

If the trip IS confirmed:

  • After you receive the Trip Confirmation Email:

    • Room upgrades may be possible, subject to availability.

    • Changes to trips, dates, or destinations are not allowed directly.

    • Your spot cannot be transferred to another person.

    If you wish to join a different trip after confirmation, this must be done through a cancellation.

    If the cancellation occurs more than 45 days before the trip start date, you may request to transfer eligible amounts as a credit toward another active NOMATRIBE trip, in accordance with the Credits & Transfers and Cancellation & Refund Policies.

SHARED ACCOMMODATION BOOKINGS (PRIVATE ROOMS ONLY)

This section applies only when two participants are sharing a private room.

How pricing works for shared private rooms

  • When a private room is shared by two participants, the total trip price includes a reduced accommodation cost for the second participant.

  • Any accommodation adjustment for shared private rooms will be confirmed by NOMATRIBE before booking.

Important:

  • The accommodation discount applies only to lodging.

  • All included activities, coworking access, and weekend excursions are charged at 100% per person.

  • One participant completes the booking and is responsible for the full payment.

  • All payments, deadlines, cancellations, refunds, and credits apply to the booking as a whole, not individually.

  • NOMATRIBE does not manage or split payments between participants traveling together. 

IF NOMATRIBE CANCELS THE TRIP

Before the Trip Starts

NOMATRIBE may cancel a trip before departure for reasons including, but not limited to, low enrollment, safety concerns, or operational constraints.

If NOMATRIBE cancels the trip before it starts:

  • You will receive a full refund of all amounts paid to NOMATRIBE.

  • Any credit issued (if applicable) will be valid for 12 months from the date of issue.

  • NOMATRIBE is not responsible for external or non-refundable costs incurred by participants, such as flights, visas, insurance, or personal expenses.

Trips are confirmed no later than 45 days before the trip start date, or earlier once an official Trip Confirmation Email is sent.

During the Trip

NOMATRIBE reserves the right to cancel a trip in progress for reasons concerning the safety, health, or welfare of participants. If this happens:

  • Participants will receive a prorated refund of the amount they paid.

  • NOMATRIBE is not responsible for any non-refundable expenses incurred by participants before or after the cancellation of the trip.

Delays or Interruptions

NOMATRIBE may also delay or interrupt the start or progress of a trip due to:

  • Travel or quarantine restrictions

  • Health and safety concerns

  • The closure of accommodations, businesses, or services due to lockdowns or similar events

In such cases:

  • NOMATRIBE will contact participants regarding alternative launch dates or arrangements.

  • Participants will be responsible for additional costs caused by the interruption (e.g., extra travel, accommodation, food).

  • You may be able to seek reimbursement from your travel insurance for these additional costs.

  • NOMATRIBE will make reasonable efforts to minimize the impact of such interruptions but cannot be held liable for additional expenses incurred.

 OTHER IMPORTANT NOTES

Unused Services

No refunds or credits for unused portions of the trip.

Add-Ons

Optional add-ons (e.g., excursions) are non-refundable.
